Knowledge Services Specialist - IntraHealth - Chapel Hill


IntraHealth’s Knowledge Management (KM) Unit works across the organization to provide leadership in moving IntraHealth towards having a culture of shared accountability about capturing, organizing and sharing information and resources – a culture where knowledge management is the seamless context of how we work. The Knowledge Services (KS) Specialist will provide major training, logistical, content and management support for this initiative.

One way the Unit currently supports internal KM is via Sharepoint, an online archive and collaborative workspace. The KS Specialist will provide hands-on technical support to continually improve the usability of Sharepoint as well as on-demand and proactive trainings and consultations with staff. There is also a content management role including keeping the homepage content fresh; surveying portal pages for adherence to content management protocols; and working with page owners and users to strengthen their implementation of the protocols and their skills as knowledge leaders.

The Specialist will also contribute to an exciting initiative underway that will expand the archival and search functions of Sharepoint. The IntraHub initiative will support user searches that call for the integration of information across projects, offices and time. The position will be involved in related administrative tasks as well as the design and use of the IntraHub system.

A key challenge the Specialist will help the KM Unit address is implementing KM standards throughout our field offices to build a more integrated global network within the IntraHealth. The Specialist will occasionally visit field offices to conduct KM assessments, training and provide technical assistance.

S/he will also have responsibility for coordinating many of the day-to-day functions and services of the IntraHealth Resource Center.

Specific functions include supporting IntraHealth staff in the effective use of SharePoint including providing trainings and one on one consultations; maintaining content on key SharePoint Portal pages, including updating home page content on a weekly basis; liaising with SharePoint Portal Page owners to review roles and responsibilities and respond to user feedback; actively participating in the SharePoint Advisory Group; supporting the development and use of the IntraHub knowledge management system, including some administrative tasks and implementing a retrospective archive effort; training & capacity building of staff to effectively archive, retrieve and use information, (e.g. training staff on effective web searching, bibliographic databases, submitting documents on SharePoint or data to the IntraHub, etc.) Includes visits to field offices; performing or oversees the day to day functions of the Resource Center, including responding to reference questions, cataloging, ordering and processing materials, creating displays, conducting orientations and circulation; performing thorough web and literature searches for IntraHealth staff and provides research briefs summarizing the findings; current awareness monitoring; submitting USAID deliverables to USAID’s online Development Experience Clearinghouse; creating monthly library usage reports (will be implement-able with new software); maintaining Resource Center SharePoint Team Site and Portal Page; supporting field staff by acquiring and disseminating materials for field offices in appropriate language; updating or creating documentation for Resource Center policies and procedures as needed; supporting various knowledge management activities as needed; and, completing administrative tasks as needed.

Requirements include a Master’s Degree in Library or Information Science preferred (or BA Degree with relevant experience); excellent internet searching skills; database searching skills; excellent communication skills (written and verbal); experience in instruction or teaching, preferably in the use of technology; proficient in Microsoft Word, Excel and Outlook; experience using Microsoft SharePoint or demonstrated ability to learn new technologies quickly; experience with or interest in learning to use RSS feeds, blogs, wikis and emerging technologies; ability to work independently and manage multiple projects; strong customer service orientation; familiarity with the day to day services and procedures of a library, including circulation, cataloging and reference; experience or demonstrated interest in international health development; experience with developing information architecture, website usability and the use of content management systems a plus; fluency in French or Spanish a plus.
